Meeting Minutes 7-6-2017

New Sign Committee: Mike Albine, Jess Hudson

Market Bag Cancelled: Each person who paid a slot will be asked to allow money to be used for the new sign committee or refunded. Motion by Becky, seconded by Sandy. Motion passed unanimously.

T-shirt promotion change: Sandy motioned for the purchase of a cheaper plan of t-shirts to get a t-shirt on the street. Those who have purchased a t-shirt slot will be asked about a refund or use toward purchase of shirts. Motion at $420 for 48. Seconded by Brenda. Passed unanimously.

Dog show carpet: Mike motioned for the purchase of carpet for the dogs of the dog show to wait on. Seconded by Sandy. Passed unanimously.

A monthly board meeting for the Depot Street Farmers Market, a NETFA.org project,  was held on 3-2-2017 and was called to order at 6:15 pm by Mary Goldman, President.

Meeting Minutes: Bill made a motion to approve the January minutes. Ali 2nd, the motion passed unanimously.

Treasurers report: $3780.40

Farm to Fork 2017: Will be at the General Morgan Inn, $35.00 per ticket and will feature Eugene Wolf again. Motion to proceed made by Sandy, seconded by Steve and passed unanimously.

Advertising: Greeneville Sun 2 1/8 page for opening day and farm to fork. 1 day advertising with the Greeneville Astros for Summerfest. and 2 online ad runs. Motion by Steve for $600, Bill 2nd, motion passed unanimously

Facebook advertising: Dale will set up facebook advertising at $2.00/day to switch between page likes and event advertising as needed through September. Motion made by Dale, 2nd by Michelle, passed unanimously.

Market bags and shirts: Plan is to have market names on back at $50/slot for bags, and sponsorship on back of shirts at $25/slot. Shirts will have vegetable logo left pocket (or full front if this makes the logo too small), Motion made by Heather, after discussion motion remade by Dale, seconded by Steve, passed unanimously.

Banner and street signs: Kevin made a motion for $400 for new banner and new street signs with our new logo. Sandra 2nd, motion passed unanimously.

Sandwhich boards: Michelle volunteered to make new sandwhich boards for sidewalk signs.

A monthly board meeting for the Depot Street Farmers Market, a NETFA.org project,  was held on 2-2-2017 and was called to order at 6:08 pm by Mary Goldman, President.

Meeting Minutes: Ali made a motion to approve the January minutes. Steve 2nd, the motion passed unanimously.

Treasurers report: 3562.30

 

Committee reports:

  • Management – package deal $130 for one year membership and booth rental for the year. Motion made by Becky, 2nd by Bill, passed unanimously.
  • Vendor recruitment letter brochure by presented by Thomas.
    Motion to accept with addition of new logo by Becky, 2nd by Brenda, Passed unanimously
  • Application- Early special addition and addition of legal clause disgussed. Heather and Mary will check with King for legal wording
  • Events – Vendor meeting. Board will meet briefly at 5:30 before the vendor meeting at 6:00 on April 6 at First Presbyterian Church
    -Ali motioned for $50 for vendor meeting food (chips, cookies, etc). Steve 2nd, passed unanimously
  • Farm to fork 2017 – We will begin getting permission and details for this years farm to fork to be held at the General Morgan Inn
    -Would like to purchase from vendors when possible
  • PR (advertising)
    -March 15 will start radio ads
    -card flyers for local advertising
    -Mary discussed newspaper ad options
  • Logo – vote taken and simple #2 along with minor editing will be used. Vegetable logo design #1 will be used for larger images with a vote of 7-3
  • Shopping bags – Becky and Bill will go forward with bags, with advertising on one side at 20 slots @ $50.00 each
  • T-shirts will be printed at the same location as shopping bags. Ali motioned 144 shirts @ 5.75 ea for $828 with 2017 added. Steve seconded, passed unanimously.

New logo: Thomas inquired as to whether we should pay for a new logo. Topic was tabled to review suggestions at next meeting

Change meeting day: Motion by Michelle to move meetings to first Thursday of each month @ 6:00 pm, in the interest of more people would be able to attend. –  Sandra 2nd, the motion passed.

Committees:  Heather will organize committees as were signed into the sign up sheet.

Meeting Minutes 10-10-2016

Important Announcement: End of Season Vendor Meeting at First Presbyterian Church (110 North Main Street, Greeneville) at 6:00 pm on November 14. Pot luck dinner. The DSFM will supply plates, napkins, cups, cutlery, and drinks. Vendors are asked to bring a potluck dish, either main dish, side dish, or desert. This meeting is our annual 501(c)3 required meeting to call for nominees to be on the board of the DSFM going into next year. This is also a time for planning what we can offer the community going into next year. We are setting up a meeting with the chef of the General Morgan Inn’s Brumley’s restaurant to ask what he’d like to have available for local produce next year. If you can only attend one meeting, we ask that its this one.  Message us if you have any questions.

Treasurer Report: Total on hand: $3995.11

Mansion: Dale made a motion to donate $200 to the mansion from the market for proper gratitude for their hospitality and allowing us to use the mansion during the Market to Mansion event. Bill 2nd and the motion passed.

Writing: asked for help in writing thank you letters to everyone that donated to the Market to Mansion event (approximately 12+/-) and with writing invitations to all potential vendors for the end of the year vendors meeting to be held on November 14, at the First Presbyterian Church in the Simon Room. The writing festival will be at Alice’s place 10/11/2016 @6:00 pm.

Letter to the editor: Mary will write a letter to the editor on behalf of all of us at DSFM to thank the entire community and the Greeneville Sun itself for contributing to our ground breaking and extremely successful first annual Depot Street Farmers Market.

Brumley: Heather will message Becky to ask her to set up a meeting with the head chef at Brumleys, the restaraunt of the General Morgan Inn. The purpose of the meeting is to find out what he would like from fresh local produce going into next season.

Greeneville BMA: Bill will contact Amy Rose to find out about when we should and/or could get on a BMA meeting to request shutting down the road next year, just as we did this year.

Marketing Class: Bill motioned to pay for Heather to go to the marketing class, $30. Brenda 2nd and the motion passed.

A regular monthly board meeting for the Depot Street Farmers Market, a NETFA.org project,  was held on 09-12-2016 and was called to order at 6:15 pm by Mary Goldman, President.

Sound System: Dale has presented a motion to the board for a sound system and has made a motion to purchase the following from Amazon.com. Mixer/Amp, Speaker set with stands, 3 Microphone set, 3 microphone stands, set speaker wires. All for approximately $450, motion made for $500. Bill seconded, motion passed

After market meeting: November 14th (monday) at First Presbyterian. Covered dish meal at 6:00 pm. Board elections will also be selected.

Newspaper: Mary Sent an article for Summerfest and should be in Saturday’s paper. Bill suggests we do an article in the Greeneville Neighbor instead of or in addition to Greeneville Sun.

Greene County Partnership: Wendy, of Brolin and Bailey, will bring up Summerfest to the Greene County Partnership.

Summerfest 2016: Dale said he will set up a pre-registration for the Dog/Owner look alike contest on the website. Mary will be doing a seasonal food demo, the teen chefs from Rural Resources will be offering samples of breakfast burritos.
Heather has asked Jancie to help us with the following

  • Check on tent and generator from Grand Rental
  • Print flyers
  • Fatz food for hospitality tent
  • Premium waters donation
  • Tables from her church
  • checking on getting trustees
  • checking with Healing with Flowers for flower arrangements
  • 6 more step-in signs to help with more advertising
  • Check with getting a key to an unused store front for market storage
  • Corporate sponsors for Summerfest
  • Jancie will be donating a grill set for the dog/owner look alike contest

We have the following musicians set up:

Mary will collect donations from vendors for the ‘guess the weight’ basket

Dale will begin a monthly vendor printed newsletter for all vendors. It will be handed out during the next available saturday market day, and any not given that day will be snail mailed. He will also create a customer printed newsletter which will be updated on an as-needed basis that will be available at the market information booth.

Ink and Paper purchase: Bill motioned for Heather to purchase ink and paper for all the printing done at her home on behalf of the market. Michelle 2nd, the motion passed unanimously.

Heather:  we have the Dickson Williams Mansion for September 29th, 6-8 pm and we have Eugene Wolf as entertainment. Still need a name for the event, sponsors, and dollar amount per ticket.

Complaints:

  • Early Selling
    It has now been brought to the boards attention for discussion a complaint for early selling by vendors. In a previous meeting of the board (one of the first in fact) it was brought up for discussion, and agreed upon by all, that there wouldn’t be any selling allowed before the 8:00 am opening bell. With the complaint brought to our attention, this has been discussed by the board once again, and found unanimously to no longer be the agreed upon way of upholding good public relations with our customers. We discussed the notion that there are people going to work, or home from work, who may only have an opportune time to shop before the 8:00 am opening bell. We also discussed the notion that we are a brand new market, and in order to keep good public relations, we would not want to turn potential happy customers away.
  • Early Set-up
    It has also been brought to the boards attention some vendors setting up before 7am. While this is discouraged we cannot police this in any effective manner. Please be aware that if you set up before 7am you are NOT covered under the Depot Street Farmers Market insurance if there were an incident. Do so at your own risk as there are no barricades in place and the city has given us permission to close the street starting at the 7am time slot.
